Cancellation Policy for The Dialogue Studio at Greenwood
Effective Date: May 8, 2026
Last Updated: May 8, 2026
This Cancellation Policy ("Policy") governs the cancellation of services, subscriptions, and bookings provided by The Dialogue Studio at Greenwood ("the Company," "we," "us," or "our") through our website, https://thedialoguestudio.org.
By engaging with our services, creating an account, or scheduling a session, you ("Client," "Customer," or "User") agree to be bound by the terms set forth in this Policy.
1. GENERAL OVERVIEW
The Dialogue Studio at Greenwood operates within the media and publishing industry. Our services include, but are not limited to, content creation, media consulting, studio scheduling, and subscription-based digital access. Because our services involve dedicated time-slots, digital intellectual property, and resource allocation, the following terms apply to ensure sustainable business operations.
2. SCHEDULING AND STUDIO CANCELLATIONS
For all scheduled services (including studio sessions, consultations, or media recording):
- Notice Period: A minimum of [e.g., 24/48] hours notice is required for the cancellation or rescheduling of any appointment.
- Late Cancellations: Cancellations made with less than the required notice period may be subject to a cancellation fee of [e.g., 50%] of the total service cost.
- No-Shows: Failure to attend a scheduled session without prior notice will result in a forfeiture of the full service fee.
- How to Cancel: Cancellations must be made via our online scheduling portal, by emailing info@thedialoguestudio.org, or through the SMS link provided in your booking confirmation.
3. SUBSCRIPTION CANCELLATIONS
If you have a recurring user account or subscription for media/publishing services:
- Self-Service: Users may cancel their subscriptions at any time through their account settings on our website.
- Billing Cycles: Cancellations will take effect at the end of the current billing cycle. No partial refunds will be issued for the remaining days in a billing period.
- Access: Upon cancellation, users will retain access to subscriber-only content until the end of the paid period, after which access will be revoked.
4. DIGITAL GOODS AND PUBLISHING PROJECTS
- Digital Downloads: Once a digital file or intellectual property asset has been downloaded or shared, it is generally considered non-refundable and the sale is final.
- Project Terminations: For long-term publishing or media projects governed by a separate Service Agreement, the cancellation terms of that specific contract will supersede this general policy. Generally, work completed up to the date of cancellation will be invoiced and due immediately.
5. REFUND POLICY
- Services: Refunds for cancelled services are governed by the notice periods defined in Section 2.
- Processing Fee: All refunds may be subject to a nominal processing fee to cover third-party payment processor costs (e.g., Stripe, PayPal).
- Processing Time: Approved refunds will be processed within [e.g., 7-10] business days to the original method of payment.
6. DATA PRACTICES AND CANCELLATION
In accordance with our Privacy Policy and Federal data standards:
- User Accounts: Cancelling a service or subscription does not automatically delete your user account. To request full data deletion (subject to legal retention requirements), please contact info@thedialoguestudio.org.
- Marketing: If you cancel a service, you may still receive email marketing communications if you have opted in. You must unsubscribe separately via the "unsubscribe" link in our emails or via your SMS preferences.
- Third-Party Services: Our site utilizes third-party tools for analytics, payments, and scheduling. Cancellation through our site may not automatically cancel related third-party interactions (e.g., external dispute processes).
7. COMPANY’S RIGHT TO CANCEL
The Dialogue Studio at Greenwood reserves the right to cancel any service, session, or subscription at our discretion. Reasons for cancellation include, but are not limited to:
- Technical failures or equipment malfunction.
- Violation of our Terms of Service.
- Non-payment or fraudulent payment activity.
- Inappropriate conduct or harassment of our staff.
In the event that the Company initiates a cancellation for reasons other than a breach by the Customer, a full refund or credit will be issued.
8. FORCE MAJEURE
The Dialogue Studio at Greenwood shall not be held liable for failure to perform its obligations if such failure results from any cause beyond its reasonable control, including but not limited to acts of God, fire, natural disaster, power outages, local internet outages, or government mandates.
9. JURISDICTION
This Policy shall be governed by and construed in accordance with the laws of the United States (Federal) and the laws of the state in which The Dialogue Studio at Greenwood is headquartered, without regard to conflict of law principles.
